Is This Meeting Really Necessary ?

   If you find that you are having difficulty expressing yours purpose clearly, consider the possibility that the meeting should not be held at all. When a problem arises, we are sometimes tempted to " throw a meeting at it." Merely holding a meeting is no assurance that anything worthwhile will be accomplished. Certain problems simply can't be solved by group participation.

Sometimes, sending a report is more effective that holding a meeting. For example, detailed listings of new prices or statistics concerning production levels are more valuable if presented in writing. Later, a meeting might be needed to resolve problems those figures reveal. But a meeting is seldom your best choice for delivering statistics.

If you are seeking information, consider requesting memos instead of holding a meeting. Written comments are often better organized and more thoroughly thought through than spoken comments.  ( Of course, they also sometimes prove harder to get. If you need information  quickly, a meeting may be your best alternative. )

All problems can't be solved in meetings. Personnel problems may be too delicate for group discussion. Confidential, one-to-one discussions are often more productive. Other problems are too large to be solved in a meeting. They may have to be delegated to a small task force or committee.

Once your statement of purpose is clear, you may discover that key people are essential to the meeting's success. If those individuals aren't available, there's no use plodding on. Reschedule, or cancel and find another way to solve the problem.  Don't waste your meetings. Always have a clear statement of purpose. Participants will come to expect results from your meetings, and they will bring a positive and constructive attitude to the meetings you lead.
